Matters, legal accounts and compliance in one system

Bill more of the work you already do. Prove every penny. Lose the admin.

ClearMatter closes the gap between the work your firm does and the money it bills. Time is captured as your team works. Client money is checked before it moves. And the daily admin — filing email, drafting letters, onboarding clients — happens where the work already happens.

The gap between the work you do and the money you bill

Most firms don't have a people problem. They have a system that quietly loses fees, buries risk, and makes everyone work harder than the matter requires.

Time that never reaches a timesheet

The six-minute call, the email reply, the quick document review. It happens all day, and by six o'clock nobody can remember it well enough to record it.

Work that sits unbilled

Matters are ready to invoice for weeks before anyone notices, because nothing surfaces what has moved into billable work.

Correspondence living in Outlook

Emails and attachments stay in personal inboxes. When someone else picks up the matter, half the history isn't on the file.

Compliance assembled after the fact

Identity checks, source of funds and risk assessments pulled back together from folders and inboxes when the auditor asks for them.

Reconciliation you dread

Client account reconciled in spreadsheets, with differences found weeks after the posting that caused them.

A process that lives in people's heads

Every fee earner runs matters slightly differently. When your best person is away, matters stall and nobody knows what step is next.

What changes when your firm runs on ClearMatter

Five differences your fee earners feel in week one, and your accountant feels at year end.

More of your time gets billed

ClearMatter builds work sessions from what your team actually does across matters, then offers suggested time entries to review each day. Nothing has to be reconstructed from memory.

Money only moves when the rules allow

Client money checks run before a posting is accepted, not after. Transfers from client to office go through approval, and nobody can approve their own request.

Compliance builds itself as you onboard

Companies House data, identity verification, sanctions and PEP screening, and source of funds are recorded against the client while the matter starts — not rebuilt at audit time.

Admin happens where the work happens

File email and attachments to a matter from Outlook. Open and save matter documents from Word. Dictate a letter and get a drafted document back from your own template.

Partners see the position without asking

Aged work in progress, aged debt, profit and loss, fee earner productivity and upcoming completions — current, and limited to what each person is allowed to see.

Outcome 01

Bill more of the work you already do.

The work that never gets recorded is the most expensive work your firm does. ClearMatter watches activity across matters, groups it into work sessions, and hands each fee earner a short list of suggested entries to confirm.

Five minutes at the end of the day instead of an hour of reconstruction on Friday — and the time lands in work in progress against the right matter, ready to invoice.

  • Suggested time entries with a confidence score against each one
  • Rounded to the nearest six minutes and marked billable or not
  • Accept, edit or dismiss in a single daily review screen
  • Confirmed time posts straight to the matter's work in progress
  • Generate invoices from work in progress — one matter or in bulk
  • Rate cards, activity codes and time targets set by the firm

Outcome 02

Every penny of client money, provable.

Nothing in the ledger can be edited after the event. A correction is a reversing entry, never a quiet amendment — so the history a reporting accountant asks for is the history that's there.

And at matter level, you see the whole position in one screen: client and office balances, disbursements, work in progress and what's left to bill. No running three reports to answer one question.

  • Client money rules checked before a posting is accepted, not after
  • Client-to-office transfers routed for approval — no self-approval
  • Bank statements imported, matched, adjusted and signed off
  • Completion statements, invoices, credit notes and write-offs from matter data
  • SDLT and Land Registry fee calculators built in
  • VAT returns prepared and submitted to HMRC under Making Tax Digital
  • Purchase ledger for supplier bills, expenses and disbursements
Outcome 03

Win the work, onboard fast, get paid

The slowest part of most matters is the start. ClearMatter turns onboarding from a week of email into a guided journey your client completes themselves — with the compliance file built as a by-product.

STEP 01

Quote and win the work

Build a fee quote from your rate cards and pricing rules, with costs, disbursements and VAT broken out. The client accepts online. Leads and referral sources are tracked, so you know what actually brings work in.

STEP 02

Onboard and verify in a day

The client completes your forms in a branded portal using a secure link — no password to set up. Identity and address verification, Companies House data, sanctions and PEP screening, and source of funds are recorded against the client as you go.

STEP 03

Stop the "any update?" calls

Clients see progress against the matter, the tasks waiting on them, and the documents they need to return. Fewer chasing emails in both directions.

STEP 04

Get paid without chasing

Card payment through a secure checkout, or a bank transfer you can mark off. Receipts post against the matter, so the ledger is right the moment the money lands.

Outcome 04

Every matter runs the way your firm runs

When the process lives in software rather than in someone's head, supervision gets easier, handovers stop hurting, and quality stops depending on who picked up the file.

Design the process once

Map how your firm runs a matter type in a visual designer. Change it when the firm changes, not when the software allows.

Each step carries its own work

Tasks, documents, questions to answer and who gets notified all sit on the step — so the next action is never a judgement call.

Approvals where they matter

Route the decisions that carry risk to the right person, and record the decision alongside the matter.

The same standard, every time

New joiners follow the firm's process from day one, and cover is straightforward because the matter shows its own next step.

Outcome 05

Take the admin out of the day

Fee earners don't resist new systems because they're new. They resist them because they add steps. ClearMatter puts the filing, drafting and document work inside Outlook and Word, where the work is already being done — so the file stays complete without anyone having to be disciplined about it.

File email from Outlook

ClearMatter suggests the likely matter for the email you're reading. File it with its attachments in a click, and it tells you if someone already has.

Work in Word, save to the matter

Browse matter folders, open a document, and save it back — without leaving Word or hunting through a shared drive.

Dictate, get a draft

Dictate a letter against a matter. It's transcribed, merged with live matter data and your firm's template, and comes back as a draft to check and send.

Documents that stay with the matter

Templates, document packs and generated letters all live against the matter and its process step. One place, one version, correctly branded.

For Partners & Practice Managers

Know where the firm stands today, not last month

Running a firm on month-old management information means every decision is a guess. ClearMatter reports off live matter and ledger data, so the answer is current when you ask for it.

The firm on one screen

Active matters, work in progress, outstanding invoices, money received, overdue tasks and upcoming completions — without asking anyone for an update.

The numbers that decide the year

Aged work in progress, aged debt, profit and loss, and fee earner productivity. Enough to spot a problem while you can still do something about it.

Nothing quietly slipping

A completions tracker, key dates and task lists per fee earner, so supervision is a glance rather than a meeting.

Only what each person should see

Reports and exports are filtered to the requester's access. Ethical walls and confidential matters stay confidential, even in a spreadsheet.

The bit you can't afford to get wrong

Client money, confidentiality and evidence are not features. They're the conditions of practising. ClearMatter is built around them rather than adding them afterwards.

Your firm's data, kept separate

Every firm gets its own database. Your matters and your ledger are not sitting alongside another practice's.

Confidentiality that holds

Conflict checks, ethical walls and matter-level access controls are enforced on every request — not hidden behind a menu item.

A record you can hand over

Every significant action is recorded and exportable. Financial entries can't be edited after the event, so what happened stays visible.

Built for UK legal practice

Designed around the Solicitors Accounts Rules and UK legal workflows — property, private client, commercial and litigation alike. Not a generic platform bent into shape.

Questions law firms ask

Straight answers about what ClearMatter is, who it suits and how it handles the parts you cannot get wrong.

What is ClearMatter?
ClearMatter is a practice management, legal accounting and compliance platform for UK law firms. It brings matters, client money, billing, AML onboarding, documents and firm reporting into one system, so the work a firm does and the money it bills stay connected.
Is ClearMatter only for conveyancing firms?
No. ClearMatter is built for UK legal practice generally — property, private client, commercial and litigation. Matter types, processes, rate cards and document templates are configured per firm, so a probate matter runs differently to a freehold purchase. Property-specific tools such as SDLT and Land Registry fee calculators are included for firms that need them.
How does ClearMatter capture time automatically?
ClearMatter records the activity a fee earner performs across matters, groups it into work sessions, and turns each session into a suggested time entry with a confidence score, rounded to the nearest six minutes and marked billable or not. The fee earner reviews the day's suggestions in one screen and accepts, edits or dismisses each one. Accepted entries post to the matter's work in progress.
Does ClearMatter handle client account and the Solicitors Accounts Rules?
Yes. ClearMatter runs a double-entry legal ledger in which entries cannot be edited after the event — corrections are made as reversing entries. Client money rules are checked before a posting is accepted rather than reported on afterwards, transfers from client to office are routed for approval with no self-approval, and bank reconciliation runs through import, matching, adjustment and sign-off.
Does ClearMatter work with Outlook and Word?
Yes. The Outlook add-in suggests the likely matter for the email you are reading, files it with its attachments, and tells you if a colleague has already filed it. The Word add-in lets you browse matter folders, open a document and save it back to the matter without leaving Word.
Is our firm’s data kept separate from other firms?
Yes. Every firm gets its own database rather than sharing tables with other practices. Within the firm, conflict checks, ethical walls and matter-level access controls are enforced on every request, and reports and exports are filtered to what the person requesting them is allowed to see.
Who builds ClearMatter, and how do we see it?
ClearMatter is built by Techsperience Ltd, registered in England and Wales. There is an interactive demo on this site, and live demonstrations are run against the kind of work your firm actually does — your matter types, fees and reporting. Contact hello@techsperience.co.uk to arrange one.
